operate the Femtec Campus communication platform at https://campus.femtec.org and, as the responsible party, we are committed to protect your data. With this statement, we would like to inform you about the way we collect, store, process and use your personal data regarding your participation in Femtec Campus.
The legal basis for data processing is the EU General Data Protection Regulation (EU-GDPR), the German Federal Data Protection Act (Bundesdatenschutzgesetz, BDSG) and the German Telemedia Act (Telemediengesetz, TMG) in their current version.
2. Extent, nature and duration of data use
We use your data to ensure the Femtec Campus is fully functional for you. The Femtec Campus is a network of users in different categories which also form the Femtec Network. The extent, type and duration of data collection and use vary depending on the user category that you belong to. The Campus features the following user categories:
– Applicants
– Scholarship holders
– Alumnae
– Other members of the Femtec Alumnae e. V.
– Staff members of partner universities
– Staff members of partner companies
– Staff members of Femtec
Below, we explain the scope, nature and duration of data use for each category:
Applicants
Applicants for the Femtec Career-Building Programme are requested to fill out an application form, which is available on the website www.femtec.org. The following personal information is to be entered:
– Form of salutation (female/*)
– First name
– Last name
– Personal email address
– University
After sending the form to us, you will receive a username and password to log on to the Femtec Campus. Here, you can create your personal user profile. For this purpose, you have to provide the following additional information:
– Nationality
– Date of birth
– Place of birth
– Home address
– Mobile phone number
– Education (school, apprenticeship, university, duration, location, stays abroad)
– Training qualifications, certificates, examinations
– Awards
– Scholarships
– Employment as a working student
– Work experience
In addition, you have to to record a short introductory video, featuring you, explaining why you are motivated to participate in the Femtec-Career Building Programme.
A link to this video, which is to be uploaded to the online video portal Vimeo, has to be integrated into your profile.
Other data such as telephone number (landline), business address, social media profiles, specialisations, and a profile picture can be added to your profile on a voluntary basis.
Your data will be stored and used during the application and selection process to contact you, send information and documents, invitations to job interviews or to the assessment centre, and to make the scholarship selection.
If the selection process is completed and you have not received a scholarship, we will immediately delete all data from your profile. On the other hand, you are responsible for deleting your application video yourself.
Scholarship holder
If you become a scholarship holder, the data you entered for your application will remain stored until the completion of the Career-Building Programme. However, as a scholarship holder you can delete the following data from your profile, if you prefer to do so:
– Nationality
– Date and place of birth
– Personal email address
Other additional information, such as career ideas, which you can add to your profile as a scholarship holder, is optional and up to you. The same applies to indicating your birth name in case of a name change.
Your data will be used to contact you as a scholarship holder within the Femtec network, to carry out the Career-Building Programme and to create and send certificates as well as documentation upon completion of the programme.
Alumnae
As a former participant in the Career-Building Programme (“Alumnae”), you can leave your profile in Femtec Campus with the information you have previously provided or delete it in total – this decision is up to you.
We would be pleased if you kept your profile. In this case, we will continue to use your data to contact you within the Femtec network.
You can decide to delete your profile at any time. Until then your data will remain stored.
Members of the Femtec Alumnae e. V.
Even if you have not participated in the Femtec Career-Building Programme but are a member of Femtec Alumnae e.V., you can set up a profile for the Femtec Campus.
To do so, you must first fill out an application form in which the following personal details must be entered:
– Form of address (female/*)
– First name
– Last name
– Personal email address
After sending the form to us, you will receive a username and password to log on to the Femtec Campus. Here, you can create a profile. For this purpose, you have to provide the following additional information:
– Postal address
– Mobile phone number
– Education (school, apprenticeship, university, duration, location, stays abroad)
– Training qualifications, certificates, examinations
– Awards
– Scholarships
– Work experience
Further details such as telephone number (landline), business address, social media profiles, specialisations and a photograph, can be entered voluntarily in your profile.
Your data will be used to contact you within the Femtec network. You can decide to delete your profile at any time. Until then your data will remain stored.
Staff from partner universities
For staff members of partner universities participating in the Femtec Campus, a user profile is created by our administrators. For this purpose, the following data has to be provided and will be stored in the profile:
– Form of address (female/male/*)
– First name
– Last name
– Personal email address
You will then receive a username and password to log in to the Femtec Campus via email. Afterwards, you can complete your profile with your address and other contact details, links to social media accounts and a profile picture. However, entering these details is voluntary.
Your data will be used to contact you within the Femtec network. You can decide to delete your profile at any time. Until then your data will remain stored.
Staff members of partner companies
For staff members of partner companies participating in the Femtec Campus, a user profile is created by our administrators. For this purpose, the following data has to be provided and will be stored in the profile:
– Form of address (female/male/*)
– First name
– Last name
– Personal email address
You will then receive a username and password to log in to the Femtec Campus. Now you can complete your profile with your postal address and other contact details, links to social media accounts and a profile picture, if you wish to do so.
Your data will be used to contact you within the Femtec network. You can decide to delete your profile at any time. Until then your data will remain stored.
Staff members of Femtec
For Femtec staff members participating in the Femtec Campus, a user profile will be created by our administrators. The following data will be stored in the profile:
– Form of address (female/male)
– First name
– Last name
– Personal email address
You will then receive a username and password to log in to the Femtec Campus and you must complete your profile with the following information:
– Nationality
– Date of birth
– Place of birth
Further data and a profile picture can be submitted voluntarily.
Your data will be used to contact you within the Femtec network. If you leave Femtec as a staff member, your data will be deleted immediately.
3. Who has access to your data?
Only selected Femtec staff members who are informed about the legal provisions on data protection and who have agreed to comply with them in accordance with the applicable legal provisions will have access to the personal data we collect.
As part of the application and selection process, your data as an applicant will be passed on to selected staff members of the partner universities and partner companies that are involved in the organisation and implementation of the assessment centre and in the selection decision, as far as this is required for this purpose.
As part of your participation as a scholarship holder in the Femtec Career-Building Programme, your data will be forwarded to the staff members of the partner universities and partner companies involved in the organisation and implementation of the courses, excursions and examinations, as far as this purpose requires.
Our partner universities and partner companies are listed on our website www.femtec.org in the section “Partners”.
Any data collected during your participation in the Career-Building Programme about your courses and excursions, achievements and examinations is only visible to you and to our staff members in the Femtec Campus.
4. What rights do you have to your personal data?
You have the right to access information about your personal data stored with us at any time and free of charge.
You have the right to request that incorrect personal data be corrected or completed without delay. You can also make the correction yourself at any time in your profile.
You have the right to request that the processing of personal data be restricted, provided that one of the reasons listed in Art. 18 Paragraph 1 GDPR applies.
You have the right to have your data deleted if one of the reasons mentioned in Art 17 Paragraph 1 GDPR applies.
You have the right to receive all your personal data that you have provided to us in a structured, common, machine-readable format and to transfer this data to another data controller.
If you wish to exercise any of these rights, please contact us at the address given in point 1 of this privacy policy. We will make every effort to answer your inquiry without delay, at the latest within the legally prescribed period of currently one month.
If you are of the opinion that any part of the processing of your personal data violates legal regulations such as the EU-GDPR or the BDSG, you can complain to the responsible supervisory authority. 5. Cookies
The website https://campus.femtec.org uses cookies to improve user-friendliness. A cookie is a small file that is transferred to your hard drive and enables the site https://campus.femtec.org to recognise you the next time you visit the portal. The site https://campus.femtec.org uses cookies to store data on the use of the pages you visit. Storing and using this data is based exclusively on anonymous information. You are entitled to object to the collection of your usage data by cookies at any time. You can block the use of cookies by configuring your browser settings accordingly. However, under certain circumstances, individual functions of our offer may not be available to you in that case. Please refer to the instructions of your browser software to find out how to block cookies.
If you wish to delete the cookies stored on your device and prevent the future use of cookies, you can change the settings of your browser. Usually you will find the relevant browser settings under “Options”, “Tools” or “Settings”. Depending on the browser you use, there are various ways of deactivating cookies. If your browser settings prevent setting and using of cookies altogether, using the Femtec Campus may be restricted or impossible.
6. Social Plugins
We use the following social media plug-ins: Facebook, Twitter, LinkedIn and Xing.
The plug-ins enable you to interact with social networks and other users, so that we can improve our offer and make it more interesting for you as a user.
(1) We use the so-called two-click-solution: When you visit our site, no personal data is passed on to the providers of the plug-ins. You can recognise the provider of the plug-in by the initial letter or logo of the provider of the plug-in. We give you the opportunity to communicate directly with the provider of the plug-in via the button. Only if you click on the marked box and thereby activate it, the plug-in provider will receive the information that you have accessed the corresponding website of our online offer. In the case of Facebook and Xing, according to the respective providers in Germany, the IP address is anonymised immediately after it is collected. By activating the plug-in, your personal data is transmitted to the respective plug-in provider and stored there (with US providers in the USA). Since the plug-in provider collects data in particular via cookies, we recommend that you delete all cookies via your browser’s security settings before clicking on the grey box.
(2) We have no influence on the collected data and data processing procedures, nor are we aware of the full extent of the data collection, the purposes of the processing and the storage periods. We also have no information about the deletion of the collected data by the plug-in provider. If you are logged in with the plug-in provider, your data collected by us will be directly assigned to your existing account with the plug-in provider. If you click on the activated button and, for example, link the page, the plug-in provider will also save this information in your user account and publicly share it with your contacts. We recommend that you log out regularly after using a social network, but especially before activating the button, as you can then avoid being assigned to your profile with the plug-in provider.
You have the right to object to the social media service regarding the use of the data. In this case you are required to contact the respective plug-in provider to exercise this right.
(3) Further information on the purpose and scope of data collection and its processing by the plug-in provider can be found in the data protection declarations of these providers, which are provided below. There, you will also find further information on your rights and settings options to protect your privacy.

7. Vimeo
For the integration of videos, we use the provider Vimeo, among others. Vimeo is operated by Vimeo, LLC, headquartered at 555 West 18th Street, New York, New York 10011, and on some of our websites we use plug-ins from Vimeo. When you access and use the sub-pages of our website that are equipped with such a plug-in – for example, when you play a video – a connection to the Vimeo servers is established and the plug-in is displayed. This tells the Vimeo server which of our pages you have visited. If you are logged in as a member of Vimeo, Vimeo assigns this information to your personal user account. When you use the plugin, such as when you click on the start button of a video, this information is also assigned to your user account. You can prevent this assignment by logging out of your Vimeo user account before using our website and deleting the corresponding cookies from Vimeo. 8. Transfer of data to third parties
If you have communicated personal data to us, this will be passed on to the third parties named in section 2 for the purposes stated in section 2. Otherwise, your data will only be passed on
– in the case of your expressed consent, which we will ask for separately in advance and record in the case of consent,
– within the scope of commissioned data processing in accordance with Art. 28 GDPR to service providers engaged in the processing of the contractual relationship and
– within the framework of the fulfilment of legal obligations to bodies entitled to receive information.
If service providers are used in individual cases, we ensure through contracts and controls that data security and data protection are guaranteed by the service providers. We currently work together with the system service provider IntraWorlds GmbH, Erika-Mann-Str. 7, 80636 Munich, Germany.
9. Location of storage
The data collected by us are stored exclusively on servers in the European Union. No data will be transferred to companies outside the European Union. This also applies to service providers commissioned by us for data processing. Your personal data will be securely transmitted by us using encryption. This applies to the login and also to the further use of the portal. We use the SSL (Secure Socket Layer) coding system. However, nobody can guarantee absolute protection. We secure our websites and other systems by technical and organisational measures against loss, destruction, access, modification or distribution of your data by unauthorised persons.
